SayLocal›Confidential dictation

Dictation for confidential work

Client names, patient details, figures, internal projects: with SayLocal, what you dictate is turned into text on your own computer. Recordings and texts are not transmitted to us or to anyone else. What isn’t sent doesn’t need protecting.

Why local processing matters

With a cloud dictation service, every recording is processed on external servers. SayLocal does the speech recognition on the computer you are dictating on – on a Mac with Apple silicon on the Apple chip’s graphics unit, on Windows on the graphics card or processor. The recording is deleted after transcription. It is never uploaded and never stored.

SayLocal was built by Conto IT, an IT service provider in Itzehoe, Germany, for exactly this reason: to dictate tickets, quotes and customer emails without customer names ending up on someone else’s servers.

Typical uses

  • Law firms: letters, file notes and emails that mention clients and opposing parties.
  • Medical practices: notes, letters and messages.
  • Consulting and HR: reports, assessments and meeting notes.
  • IT and support: tickets, documentation and replies to customers.

Names are often the hardest part. Correct a name once and SayLocal spells it right from then on. When you reply to an email, SayLocal reads the names in that window – in working memory only, nothing is stored or sent.

What stays local, what goes over the network

Stays on your computer

  • Your voice recordings – turned into text, then deleted
  • Your dictated texts
  • Your learned words and word list
  • Names read from the window you are replying to – in working memory only, never stored

Goes over the network

  • A one-time download of about 550 MB after installation
  • A brief license check once or twice a day – only your license key, server in the EU. Without a connection SayLocal keeps working for up to 7 days.
  • The update check – new versions install only if they verifiably come from us (can be switched off)
  • Only if you agree: anonymous usage figures (no audio, no text), an end-to-end encrypted copy of your word list for your second device, and cloud recognition on less powerful computers

Optional cloud recognition: on Intel Macs and on Windows PCs without a suitable graphics card, local recognition is noticeably slower. There you can switch on cloud recognition: your recording is then sent encrypted to Cloudflare, turned into text and not stored. It is off by default, only runs after your explicit tick and can be switched off at any time. On Macs with Apple silicon and PCs with a suitable graphics card this option does not exist – everything stays with you.

If you want to rule out cloud processing entirely, use SayLocal on Macs with Apple silicon or on PCs with a suitable graphics card – there the cloud option does not exist.

What local processing means for the GDPR

Because recordings and texts are processed on the device and not transmitted to us or third parties, no data processing agreement is needed for the speech recognition. What we do process: your email address and license data for the trial and your license (Conto IT), purchase and invoicing via Stripe as the merchant, and the brief license check, which transmits only the license key to a server in the EU. Everything else is optional and needs your consent.

This page describes how SayLocal works technically. It is not legal advice. Whether SayLocal meets your professional and data protection obligations is for you or your data protection officer to assess. The details are in our privacy policy and license terms.

For teams

Each person needs their own license; it covers that person on up to two of their own devices. You receive an invoice with tax shown, and you manage devices yourself. For several seats on one invoice, send us a request.

Frequently asked questions

Can Conto IT read my dictations?

No. Recordings and texts never reach us – they are processed on your computer. If you switch on the optional word list sync, your learned words are end-to-end encrypted; only you hold the key.

Is a data processing agreement needed?

Not for the speech recognition, because nothing is transmitted for it. Whether further documentation is required in your organisation is for you or your data protection officer to decide.

Which data leaves the computer?

Only the license key during the brief license check once or twice a day (server in the EU) and the update check. Anonymous usage figures, the encrypted word sync and cloud recognition on less powerful computers are optional and need your consent.

Can optional features be switched off?

Yes. Usage figures, word sync and cloud recognition are off unless you agree, and automatic updates can be switched off in the settings.
